Privacy statement what we do with your data.

This is a translation. The Dutch version of this statement is the legally binding one.

specialstays.com is a trade name of Bugg Beheer B.V. This statement explains which personal data we process when you book with us, contact us or visit our site, why we do so and how long we keep that data.

1 – Who is responsible

  1. Bugg Beheer B.V., trading as specialstays.com.

2 – Which data we process

  1. When you book:
    • name, address, email address and phone number
    • the number and sometimes the names of fellow guests, arrival and departure dates
    • payment and invoice details, and details about pets or extras you choose
  2. When you contact us:
    • what you send us by email, phone, WhatsApp or the chat on the site
    • your email address if you sign up for the newsletter
  3. When you use the website:
    • which pages you view, how you reached the site and which searches you run
    • technical data such as browser type, device and a shortened IP address

3 – What we use them for

  1. Carrying out your booking: reserving, payment, sending arrival information and arranging your stay. Basis: performance of the agreement.
  2. Staying in touch with you and answering your questions. Basis: performance of the agreement or our legitimate interest in good service.
  3. Keeping our administration and invoicing. Basis: legal obligation.
  4. Sending the newsletter. Basis: your consent, which you can withdraw in every email.
  5. Measuring and improving the site and assessing our ads. Basis: your consent through the cookie notice.

4 – How long we keep them

  1. Booking and invoice data: 7 years, because Dutch tax law requires us to keep our administration for seven years.
  2. Contact requests and chat conversations: 2 years after the last contact.
  3. Newsletter subscription: until you unsubscribe.
  4. Statistics and advertising data: according to Google's retention period, at most 14 months.

5 – Who we share them with

  1. Booking Experts: our reservation system, for bookings, payments and booking correspondence.
  2. Crisp: our chat and helpdesk software, for your messages to us.
  3. Google Analytics and Google Ads: for visitor statistics and measuring our advertising.
  4. Algolia: for the search function on the site.
  5. Our hosting provider, which runs the website and its database.
  6. We also share data with the owner or manager of the house where you stay, as far as needed for your stay, and with parties we are legally required to provide data to.
  7. We do not sell your data and do not use it for purposes not listed here.

6 – Cookies

  1. Necessary cookies remember your search, language choice and session; they are needed for the site to work.
  2. Statistics and advertising cookies from Google are only placed if you consent to them.
  3. You can change your choice at any time through the cookie settings in your browser.

7 – Your rights

  1. You may view, correct or delete your data, as far as we are not legally required to keep it.
  2. You may object to processing and ask us to restrict it.
  3. You may request your data in a readable file so you can take it with you.
  4. Send your request to info@specialstays.com; we respond within a month.
  5. If you disagree with how we handle your data, you can file a complaint with the Dutch Data Protection Authority (Autoriteit Persoonsgegevens).

8 – Security and changes

  1. We serve our site and forms over a secure connection and only give staff access to data they need for their work.
  2. If this statement changes, we update the version and date at the top of this page.
